Job Description Summary:

Under the supervision of the Program Director, the Program Assistant will function as an administrative assistant within the program and is responsible for the following activities.

Essential Functions:

  • Performs a variety of administrative or executive support tasks that are confidential and sensitive.
  • Coordinates office management activities for the program director and other faculty of the PA program.
  • Researches, compiles, assimilates, and prepares various documents to support all phases of the PA Program, ARC-PA, and other accreditation bodies.
  • Reads and screens incoming correspondence and reports as appropriate; makes a preliminary assessment of the importance of materials and organizes documents; handles matters personally and forwards appropriate materials to faculty and staff.
  • Receives and screens incoming calls and visitors as appropriate, determines which are priority matters, and alerts the faculty accordingly. Makes referrals to appropriate staff or provides requested information.
  • Composes letters and memoranda
  • Produces a variety of documents, charts, and graphs in final form.
  • Prepares agenda and collects materials for meetings, speeches, and conferences; takes minutes and keeps records of proceedings.
  • Plans and coordinates arrangements for various meetings and conferences.
  • Reviews, proofreads, and edits documents
  • Coordinates and facilitates the faculty and student calendars to arrange various appointments, meetings, and conferences.
  • Recommends actions to be taken on office expenditures such as equipment and supply needs.
  • Assists with preparation of the departmental budget.
  • Assists with the establishments, revisions and maintenance of program procedures and policies.
  • Responsible for compiling, maintaining and keeping secure confidential college,
    faculty, and student documents related to the PA program.
  • Makes travel arrangements; prepares itineraries; prepares, compiles and maintains travel vouchers and records.
  • Operates standard office equipment.
  • Performs related work as assigned.

  • Administrative Assistant – As outlined above
  • Clinical Site Monitoring – Working with the Clinical Director as outlined above
  • Mission Statement Review – As part of the Faculty Retreat to review the mission
  • Secretarial – As outlined above
  • Student Recruitment – Administrative support for recruitment and CASPA


  • Bachelors Degree required
  • Excellent interpersonal and team skills
  • Strong critical thinking, organization, and problem solving skills
  • Proficient written and verbal language skills
  • Excellent skills in working with MS Office Suite (Excel, Word, and PowerPoint)
  • Strong quantitative skills with preference given to candidate with excellent skills using Microsoft Word, PowerPoint, and Excel) and in survey preparation and analysis
