Visit Experience Coordinator
Position Overview
The Visit Experience Coordinator is responsible for creating exceptional campus visit experiences for prospective students, families, and guests while overseeing the daily operations of the Admissions Welcome Center. This position coordinates individual and group campus visits, supervises student ambassadors and student employees, and assists with the planning and execution of admissions events throughout the year. The coordinator serves as the primary point of contact for campus visit logistics, ensuring every visitor receives a welcoming, organized, and personalized experience that reflects the mission and values of Presbyterian College.
Reports to: Reports directly to the Executive Director of Enrollment.
Essential Duties and Responsibilities
Campus Visit Coordination
- Coordinate all aspects of daily campus visits for prospective students and families.
- Prepare visitor materials, including parking passes, folders, schedules, and welcome gifts.
- Update welcome presentations and digital displays with daily visitor information.
- Monitor daily visit registrations and coordinate accommodations for visitors with special needs.
- Respond to campus visit inquiries via phone, email, and other communication channels.
- Coordinate lunches and special arrangements for individual and group visitors as needed.
- Ensure the Patrick Center is organized, welcoming, and visitor-ready each day.
Group Visit Management
- Schedule and coordinate group visits for high schools, community organizations, and other partners.
- Communicate parking, arrival instructions, and logistical details with visiting groups.
- Coordinate with campus dining, facilities, and other departments to ensure successful group visit experiences.
- Maintain accurate group visit schedules and planning documents.
Student Worker Supervision
- Supervise front desk student employees and student ambassadors during daily operations.
- Develop and manage student employee work schedules.
- Hire, interview, onboard, and train new student ambassadors and student employees.
- Coordinate monthly ambassador meetings and regular planning meetings with student leadership.
- Monitor student employee performance and approve monthly timesheets.
- Ensure ambassadors and student employees provide outstanding customer service and represent Presbyterian College professionally.
Admissions Event Planning
- Assist with planning and executing major admissions programs including Open Houses, Accepted Student Day, scholarship events, guidance counselor programs, and other recruitment initiatives.
- Coordinate event logistics with campus departments, vendors, speakers, and catering services.
- Maintain event timelines, planning documents, and budgets.
- Schedule event planning meetings and assist with event setup, execution and cleanup.
- Track invoices and expenses related to admissions events and group visits.
Administrative Responsibilities
- Prepare weekly reports summarizing campus visit activity and upcoming visit registrations.
- Maintain accurate visitor and event records using Slate.
- Monitor inventory of admissions materials, promotional items, and visitor supplies.
- Order and replenish inventory including publications, giveaways, apparel, and refreshments.
- Collaborate with admissions communications staff to ensure visitor and event communications are timely and accurate.
Other Duties
- Participate in planned campus visit programs, open houses, accepted student events, orientation programs, and other enrollment initiatives.
- Collaborate with faculty, staff, and campus partners to support student success and enrollment objectives.
- Perform additional duties as assigned by the Executive Director of Enrollment.
- Maintain admission vehicle upkeep and rental.
Qualifications
Required Qualifications
- Bachelor’s degree required.
- One to three years of experience in higher education, event planning, hospitality, customer service, or a related field.
- Outstanding organizational and project management skills.
- Excellent written, verbal, and interpersonal communication skills.
- Strong customer service orientation and commitment to creating exceptional visitor experiences.
- Ability to manage multiple priorities in a fast-paced environment.
- Ability to work occasional evenings and weekends during recruitment events.
Preferred Qualifications
- Experience with Slate CRM or similar admissions management software.
- Experience supervising student employees or volunteers.
- Experience coordinating events or campus visit programs.
Working Conditions
- Evening and weekend work required during peak recruitment periods and special events.
- Ability to work flexible hours to meet enrollment objectives and student needs.
- Ability to move throughout campus during tours and events.
- Ability to lift and transport event materials weighing up to 50 pounds.
